From Challenge to Triumph: The Impact of RPA on the SUA Project

The Unified Self-Determination System (SUA) is mandatory for employers in Mexico with more than five employees. The system facilitates the management of worker and employer contributions payments to the Social Security Institute (IMSS) and loan repayments.

To implement Robotic Process Automation (RPA) to optimize the calculations, verifications, and submission of information required by the SUA. The objective was to reduce the time and effort involved in settling and verifying contributions, deductions, and withholdings, and to ensure timely report submissions and compliance with tax obligations.

The Challenge

High Data Volumes: Dealing with a very large number of employer records and employees (over 210,000).

Manual Verification: A time-consuming, error-prone process.

Deadline Compliance: Need to submit information to the IMSS in a timely manner to avoid penalties.

Cost Reduction: Processes were costly due to the significant time and human resources required for manual data verification and reconciliation.

The Solutions

A RPA-based automation solution was developed. with the following advantages:

Automation of Calculations and Verifications: Integration of data from SAP to the SUA-IMSS system for the calculation, verification, and generation of final disks.

System Integration: Nintex Kryon facilitates seamless integration between SAP, MAXIMO, and CERES, ensuring smooth data transfer between systems and minimizing manual intervention.

Report Generation: Automated reporting for finance, accounting, and HR management.

Parallel Processing: Utilization of up to 18 robots to simultaneously execute tasks across various FEMSA Group entities, significantly reducing processing times.

Integration and Updates: Automated interfaces between SAP and SUA-IMSS for continuous data updates and the delivery of information formatted according to system requirements.
